The Church Administrator serves as a key operational and organizational leader, supporting the overall health and effectiveness of church functions. This role ensures smooth day‑to‑day execution of administrative tasks, facilitates communication between departments, and helps steward the practical resources of the church to advance the Kingdom.
KEY RESPONSIBLITIES Administrative Support- Organize meetings, create agendas, and document action items for specified meetings
- Screen and prioritize internal communications, emails, and requests via the church’s general email inbox
- Prepare reports, presentations, and documents as needed
- Maintain files, records, and department documentation
- Manage the church’s administrative systems, including records, forms, etc.
- Maintain and update staff directories, distribution lists, and contact databases.
- Oversee digital and physical file management (i.e., contracts, invoices, meeting notes, licenses).
- Maintain master church calendar including services, events, room usage, and rentals.
- Coordinate with Facilities team for room setup, supplies, and event logistics.
- Manage internal church communications (announcements, email updates, and bulletin information).
- Ensure weekly social media posts are completed and aligned with Nikao’s branding and ministry focus.
- Oversee printing and distribution of materials for services, events, and ministries (e.g., signage, handouts, flyers).
- Assist with basic updates to the church website, lobby screens, or Planning Center announcements as needed.
- Maintain a consistent communication rhythm between departments to ensure accuracy and timeliness of information shared publicly or internally.
- Serve as the first point of contact for general church inquiries via phone or email
- Help maintain systems and processes to support daily operations
- Prepare resources and logistics for events, trainings, or leadership meetings
- Assist with financial forms, vendor follow-ups, etc.
- Experience in administrative or project management support, preferably in a church or nonprofit setting
- Strong organizational and time management skills
- Proficient in Microsoft Office
- High level of confidentiality, discretion, and professionalism
