An Executive Assistant provides high-level administrative support to designated C‑Suite executives. This role requires discretion, confidentiality, and the capacity to make independent sound decisions. It demands managing multiple priorities, coordinating complex schedules, and handling sensitive information with integrity, ensuring the smooth operation of the executive office and supporting the leadership team in achieving organizational objectives.
Salary Range$75,000 - $85,000 (base pay may vary within this range based on experience and skills).
Hybrid Work Location- Hybrid position: office in Madison, WI for three days per week at WPS Corporate Center Building — 1717 W. Broadway.
- Onsite work supports team cohesion, strategy, planning, and collaboration.
- Coordinate and manage complex C‑Suite calendars and scheduling.
- Provide onsite and virtual support for meetings, including logistics preparation.
- Prepare correspondence, reports, presentations, agendas, and minutes.
- Arrange business travel and coordinate on‑site, off‑site, hybrid, and virtual meetings.
- Lead special projects focused on process improvements and operational efficiencies.
- Respond to routine correspondence and inquiries promptly and professionally.
- Assist with regulatory filings as needed, maintaining accuracy and compliance.
- Coordinate and submit expense reports in line with company policies.
- Compile and manage team weekly reports, ensuring accurate data and timely delivery.
- Handle sensitive information and maintain strict confidentiality.
- Bachelor’s Degree in a related field or equivalent combination of education and work experience.
- 4+ years of high‑level administrative support for C‑Suite executives.
- Exceptional ability to manage competing priorities and make timely decisions.
- Proficiency in meeting technologies, including MS Teams and other virtual tools.
- Excellent verbal and written communication skills, professionally interacting at all levels.
- Proven skill in prioritizing and managing multiple assignments while maintaining focus on both short‑term deadlines and long‑term objectives.
- Proactive problem‑solving, resourcefulness, creativity, and leveraging technology to streamline processes.
- High‑speed cable or fiber internet connection.
- Minimum of 10 Mbps downstream and 1 Mbps upstream (verified via ).
