The ideal candidate will be responsible for many different tasks related to the operations of the business including executive administrative duties and marketing tasks. Daily responsibilities will include fielding incoming emails and sending/maintaining calendar invitations. Additionally, this individual will create, organize, and maintain processes and documentation to ensure ease of access and organization of materials with the team.
This individual should have a background in high tech marketing communications to include client and team interaction, copywriting, editing and full project management. This individual should also have a background in slide creation and presentation work and may work in tandem with other marketing managers on the Freemind team to execute these functions as needed.
Responsibilities- Demonstrate a self-starter mindset with the ability to work independently or within a team.
- Implement, maintain, and enforce detailed workback schedules.
- Manage daily senior-level project management tasks without supervision.
- Maintain Excel spreadsheets and/or Microsoft Lists, including all data entry into client databases.
- Create and update PowerPoint slides with advanced proficiency.
- Provide day-to-day marketing coordination, including Microsoft Teams virtual meetings, webcast production, Teams Live Events prep, project management, and note-taking for multiple meetings.
- Participate in team meetings and collaborate to complete client work.
- Schedule and maintain multiple meetings and calendars through Outlook.
- Communicate daily with team members and extended staff via in-person interactions, Outlook, Microsoft Teams, and SharePoint.
- Assist other Freemind marketing managers with event-related tasks as needed.
- Ability to manage concurrent projects in a fast-paced, deadline-driven environment.
- Strong attention to detail and commitment to accuracy.
- Exceptional interpersonal skills with the ability to communicate clearly and confidently.
- Strong problem-solving skills and the ability to make sound decisions quickly.
- Ability to present information confidently to teams and stakeholders.
- Ability to maintain professionalism, discretion, and maturity in all forms of communication.
- Comfort working both independently and as part of a collaborative team.
- Ability to adapt quickly, prioritize effectively, and take initiative without prompting.
- Bachelor’s degree and 8–10 years of strategic marketing communications experience supporting Microsoft corporate events.
- Strong project and event management background, including sponsorship sales/management and content organization (virtual event experience is a plus).
- Advanced proficiency in Microsoft PowerPoint, Teams, Word, Excel, Planner, and One Note.
- Excellent written and verbal communication skills, including marketing copywriting.
- Highly organized, detail-oriented, proactive, and capable of managing multiple deadlines independently.
- Professional, collaborative, and confident working with clients, stakeholders, and cross-functional teams.
