EXECUTIVE VIRTUAL ASSISTANT (Australia Market)

We are currently looking for a highly motivated and detail‑oriented individual to join our team as a full‑time virtual assistant. In this role, you will support both personal and professional projects, ensuring smooth communication and collaboration.

You will be working for one senior professional who is the Managing Partner of a growing investment firm. As a remote position you can work from the comfort of your own space, achieving a healthy work‑life balance. We believe that being located in the same time zone as Singapore is crucial for effective communication, so we encourage candidates from this region to apply.

We strongly prefer candidates based in Malaysia – there is an opportunity to work from an office based in Kuala Lumpur at the candidate's preference.

Responsibilities
  • Email and Calendar Management:
    Manage and prioritize emails, appointments and calendar scheduling, ensuring all tasks and deadlines are met efficiently.
  • Online Research:
    Conduct thorough online research and provide concise summaries to support decision‑making processes.
  • Data Entry and Organization:
    Maintain accurate records and ensure information is easily accessible for future reference.
  • Travel Arrangements:
    Help with booking flights, hotels and transportation.
  • Personal Projects:
    Attend to recurring personal life management tasks such as ordering groceries, summarizing bills to be paid and restaurant bookings.
Requirements
  • Proven experience as an executive assistant or in a similar role is essential; you should be able to hit the ground running.
  • Experience in financial planning and wealth management within the Australian market.
  • Strong communication skills and attention to detail; expected to communicate effectively, both verbally and in writing, with various stakeholders.
  • Proficiency in Microsoft Office, Google Drive, Slack and Zoom; comfort working with these tools and quick adaptation to new software.
  • Ability to multitask and prioritize tasks; often working on multiple projects simultaneously and effectively managing time.
