Position: Program Assistant II.

Program Assistant II

State of Colorado is seeking a Program Assistant II for the Quality Assurance Youth Services unit within the Division of Quality Assurance and Standards Compliance. The role provides high‑level administrative and technical support to the QAYS supervisor, the Division Director, and Health Facilities Quality Assurance teams.

Residency Requirement

This position is open to current Colorado residents only.

Job Summary

The Program Assistant II will assist with administrative, logistical, and technical tasks, manage office processes, and support compliance review activities for youth and health facilities. The role is split 80% on QAYS activities and 20% on Health Facilities Quality Assurance.

Responsibilities
  • Support the QAYS supervisor in managing QAYS operations and communications.
  • Assist the Division of Quality Assurance and Standards Compliance Director with oversight of HFQA unit activities.
  • Track, prioritize, and manage correspondence to and from QAYS.
  • Develop and maintain tracking systems, filing procedures, and spreadsheets for travel, vehicle usage, and compliance documentation.
  • Conduct research, compile project information, and develop presentations or special projects as assigned.
  • Organize and produce meeting minutes, schedules, and agendas for Division meetings and work groups.
  • Act as liaison with other agencies, resolve situations, and cultivate professional relationships.
  • Prepare and distribute DYS Facility and DYS Regional Compliance Review reports and manage incoming compliance communications.
  • Schedule and support annual youth center compliance review exit conferences; disseminate employee surveys during the review process.
  • Manage travel, budget correspondence, and vehicle maintenance, approving expenditures within the QAYS and HFQA budgets.
  • Administer and monitor database entries, ensuring data quality and timely reporting for compliance dashboards.
  • Provide support for special projects and other duties as assigned.
Minimum Qualifications
  • Five (5) years of administrative support experience, including at least one (1) year in a residential treatment, healthcare facility, or correctional environment, and at least two (2) years working with content management (data management, dashboard development, electronic document storage).
  • OR a combination of related education and experience totaling five (5) years, with the same residential/correctional and content‑management experience requirements.
Preferred Qualifications
  • Strong written communication skills.
  • Critical thinking skills.
Conditions of Employment
  • Standard background check, including CBI name check, ICON Colorado court database, Medicare fraud database, reference checks, professional license verification, and drug screen.
  • Former state employees who were disciplinarily terminated or resigned in lieu of termination must disclose prior termination, provide justification, and supply employee number.
