Travel and Expense Specialist - Kansas City (Remote)
The Travel and Expense Specialist is responsible for travel and expense support under Firm guidelines. This person will be accountable for processing expense reports under Firm Travel & Expense reimbursement guidelines. This is a remote position located in Kansas City, MO.
Responsibilities- Responsible for making travel arrangements including flights, car rental, hotel, train, car service
- Responsible for understanding preferences of assigned travelers
- Responsible for correcting expense reports returned by Concur Audit
- Responsible for obtaining necessary information/documentation from traveler in support of expenses and/or contacting airlines, hotels, etc., for missing receipts in accordance with Firm Travel & Expense reimbursement guidelines
- Accountable for making guest traveler arrangements
- Liaison with American Express GBT for complex travel arrangements and/or changing existing travel arrangements
- Responsible for providing travel details to traveler via calendar invitation
- Accountable for processing all transactions and reports accurately and efficiently
- Position is remote therefore must thrive with tight timelines and limited supervision
- Accountable for keeping manager informed of problems and issues
- Perform such other/additional duties as may from time to time be assigned
- Demonstrates expertise with Concur, the Firm’s travel application
- Demonstrates organizational skills and attention to detail regarding requests for travel
- Ability to communicate to travelers their various travel options utilizing excellent communication, phone etiquette and listening skills
- Ability to build and maintain relationships, understand and clearly communicate with the Firm representatives at American Express when making complex travel arrangements
- Highly organized with ability to handle multiple tasks and requests effectively
- Accurately uses time zones when booking travel and communicating with traveler
- Generates expense reports using Concur, the Firm’s travel and expense application
- Reviews receipt details to ensure they accurately reflect the expense
- Possesses knowledge of IRS regulations pertaining to receipts
- Properly profiles expenses in Concur using Firm protocols
- Processes expense reports within a designated timeline
- High School Diploma is required
- Minimum of two (2) years of directly related work experience in law firm, travel industry, hospitality or other professional services environment.
- Proficient in Microsoft Suite of Products.
