Our client, a growing and dynamic private equity firm, is seeking a polished and proactive Executive Assistant to support a team of 3 investment professionals. This role is ideal for someone who thrives in a boutique and community-oriented firm, and enjoys being a key part of a diligent, high-performing team. The ideal candidate will have 3–5 years of administrative experience supporting a busy team, bring a confident, forward-thinking mindset, and take pride in being the person who keeps everything running smoothly.
A strong attention to detail, polished communication skills, and a hardworking, can-do attitude are essential.
- Answer and screen incoming calls with professionalism and discretion
- Manage complex, heavy calendars for multiple team members, prioritizing and resolving scheduling conflicts
- Book and coordinate internal and external meetings, including logistics and follow-up
- Ensure professionals are fully prepared for meetings with all necessary materials and information
- Arrange domestic and international travel, including flights, hotels, car services, and dinner reservations
- Prepare and process monthly travel and expense reports in a timely and accurate manner
- Provide back-up support to other admins during vacations or leaves, ensuring seamless coverage
- Maintain the highest level of discretion and confidentiality in all matters
- 3–5 years of administrative experience supporting senior professionals, ideally in financial services
- Bachelor’s degree required
- Poised, tactful, and professional at all times
- Ability to thrive in a fast-paced, rigorous work environment with shifting priorities
- Superb written and verbal communication skills, with strong attention to detail when composing and proofing materials
- Punctual, dependable, and highly organized, with strong follow-through
- Demonstrated initiative, ownership of responsibilities, and a proactive, resourceful mindset
- Ability to work both independently and collaboratively as part of a close-knit team
- Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
$100–125K base (DOE) + discretionary bonus + excellent benefits
HOURS9:00am–6:00pm (with some flexibility to be reachable after hours as needed)
Monday–Thursday in office, work-from-home on Fridays
