The Opportunity
Mawer Investment Management is actively seeking a dynamic individual to fill the pivotal role of Receptionist. We are looking for a self-assured, customer service-oriented professional to join our downtown Investment Management firm. The ideal candidate will be an exceptionally detail-oriented team player, adept at being the first point of contact for office visitors. You will work alongside a fellow receptionist, supporting a collaborative and team-oriented front desk environment.
This role offers a unique opportunity to be at the center of our team, playing a crucial part in creating a welcoming office atmosphere.
Role Responsibilities
General reception duties including answering phones, checking for faxes, greeting and assisting employees, visitors, maintenance people, tradespeople, etc.Enter and track building maintenance requestsEnsure all floor plans are kept up to dateAssist with planning and execution of internal and external meetings, training sessions, and company eventsCoordinate the Board Meeting set-up and cateringAssist with expense reportsManage access cards for the company including onboarding and offboarding employees and visitor passes, reconciling passesHandle client documentation while maintaining security, privacy, and compliance policiesEnsure the reception manual is up-to-date and other employees providing coverage are trainedOther duties as assigned to assist many other departments in our ever-changing hybrid environmentDesired Qualifications
5+ years of Reception experience in an Office Professional environmentExcellent verbal and written communication skillsProficiency with the Microsoft Office Suite, specifically Excel and Word, Microsoft Office Teams an assetProven ability to perform administrative duties with professionalism, accuracy, and a keen eye to detailProven time management, prioritization, and organizational skills, including the ability to work independently within broad parameters and accomplish goals within agreed upon deadlinesProven track record of being open to feedback and direction, contributing enthusiastically to team successService-focused with an approachable dispositionCalm positive attitude under pressure and shows professionalism in all interactionsDemonstrates flexibility and a positive, "can do" attitudeTeam player who will step in to help wherever neededSuperior, and proven, respect of confidentiality and confidential mattersSeeks continuous improvement and proactively identifies opportunitiesAbility to have some flexibility with work schedule when requiredWhy Mawer?
