Position Summary
The Field Administrative Assistant plays a key role in supporting management by providing high‑level administrative and clerical services that ensure the office operates smoothly and efficiently. This position is responsible for maintaining accurate records, streamlining administrative processes, and serving as a professional first point of contact for clients, vendors, and visitors. The ideal candidate is highly organized, detail‑oriented, and able to balance multiple priorities in a fast‑paced environment.
Key Responsibilities Essential Functions- Create, organize, and maintain both electronic and physical filing systems to ensure quick access to company records.
- Manage all paperwork flow, including filing, matching, and verifying invoices for accuracy.
- Handle check requests and other documentation with precision and confidentiality.
- Input employee timesheets accurately and conduct frequent audits to ensure compliance and accuracy.
- Enter and maintain data for schedules, reports, and other operational documents.
- Answer incoming calls, route inquiries, and greet visitors in a professional, courteous manner.
- Serve as a liaison between clients, vendors, and internal departments to ensure seamless communication.
- Manage incoming and outgoing mail, including opening, sorting, and routing correspondence to appropriate recipients.
- Assist with scheduling meetings, appointments, and company functions.
- Support management with calendar coordination and timely follow‑ups.
- Adapt to changing priorities and responsibilities as the business needs evolve.
- Provide general office support and contribute to special projects as required.
Education and Experience
- High School Diploma or equivalent.
- Previous office experience preferred.
- Excellent communication and people skills.
- Meet all physical requirements of the position.
- Pass all drug and alcohol screens as required by company policy and, if applicable, DOT regulations.
- 18 years of age or older, or 21 if CDL is required.
- Legally authorized to work in the United States.
This role is based in an office environment with occasional remote work flexibility. The position may require limited travel.

Pay Range: $20 – $23 per hour
