PositionSummary
The Events Administrator provides essential support to the Events Team in the budgeting, coordination, and execution of all events. Key responsibilities include managing event‑related data, maintaining accurate budget records, communicating effectively with internal and external stakeholders, and addressing customer service inquiries from attendees, including buying group members and vendor partners.
Responsibilities- Oversee budget tracking, financial documentation, payment timelines and reconciliation of event‑related expenses in coordination with the accounting team.
- Support Event Coordinators by conducting venue research, sourcing options, vetting 3rd party vendors, and contributing to overall event planning efforts.
- Assist with end‑to‑end event logistics, including attendee registration and auditing, attendance tracking, reservations, setup and breakdown at shows, and procurement of supplies.
- Manage incoming Event Support inquiries and special requests via email and phone, providing timely responses, status updates, and issue resolution for clients, vendors, and guests.
- Contribute to the preparation of event materials, including name badges, signage, presentations, and other supporting documents as required.
- Produce event‑related messaging, including invites, email announcements, and informational documents.
This position will work remotely from a home address and is subject to AVB’s Remote Work policies. The role also requires travel to attend AVB’s Annual All‑Employee Meeting and other events as deemed necessary. - Exceptional organizational and time‑management skills.
- Strong interpersonal skills with excellent written and verbal communication abilities.
- Meticulous attention to detail, particularly in budgeting and financial tracking for events.
- Advanced proficiency in Microsoft Excel.
- Proven ability to manage multiple tasks and priorities in a fast‑paced environment.
- Bachelor’s degree preferred.
- 1+ years of event experience preferred but not required.
- Design skills a plus.
- Prolonged period of sitting at a desk and working on a computer.
