Job Title:
Legal Assistant – Estate Planning, Probate and Trust Administration, and Elder Law
Location: Southborough, Massachusetts (with partial work-from-home possible)
Position Summary:As a Legal Assistant you will be the first point of contact and play a critical support role providing administrative and legal support to partners, attorneys, paralegals and administrative personnel within all departments. The position requires organization, eagerness to learn, and an understanding of teamwork as paramount to the firm’s success. This is a unique opportunity to join a collegial and collaborative legal team, work with great clients helping them protect themselves and their families, and contribute to the continued growth and reputation of the firm.
Responsibilities:- Client support – greet clients, gather preliminary information/documents, schedule meetings.
- Administrative Support – prepare, proof and print documents; maintain electronic and physical files; maintain original document inventory; mail handling; supply management and other reasonable requests as needed.
- Case Support – support team in moving cases forward and ensuring deadlines are met; manage unclaimed property claims process for clients; data entry for plan drafting; deed drafting and recording; preparing for signing meetings; assemble planning binders; requesting documentation from 3rd parties; notarization; and closing cases.
- Client Happiness – advise clients of suggested plan updates; sending cards to new clients and referral sources, birthday cards, plan anniversary cards; and random acts of kindness.
- Firm Workflow & Systems – assist firm metric data tracking; support systems development and documentation; and support firm meetings.
- Business Development – help with social media posts; and support with speaking engagements.
- High school diploma or equivalent (associate’s or bachelor’s degree preferred).
- Strong organizational skills and high attention to detail.
- Excellent written and verbal communication skills.
- Professional, courteous demeanor with a client-service mindset.
- Ability to multitask, manage time efficiently, and work in a fast-paced environment.
- Comfortable with technology (Microsoft Word, Excel and Outlook) and willing to learn new software systems.
- Prior experience in a professional office is preferred, but not required. Experience in the hospitality industry a plus.
- Working at a computer for long periods of time – sitting/standing desks are available.
- Physical presence in Southborough office required for on-boarding and training.
- Flexibility in workspace necessary as firm operates in co-work space.
- Annual salary commensurate with experience in the range of $41,600 – $60,000.
- Health and dental insurance paid by firm for employee.
- After 3 months of employment, 401k with 5% employer match that vests immediately.
- Unlimited paid time off and sick time, and 12-13 holidays/year.
- Strong possibility for growth into a paralegal and/or attorney position, but not guaranteed.
