Office Administrator/ Coordinator
Construction Administrative Assistant – Office services for the department, implementing administrative systems, procedures, and policies, and monitoring administrative projects. Acts as a liaison between facilities, store management personnel, contractors and the Home Office.
Compensation: $21.00‑$26.00 per hour.
OverviewManage accounting support, vendor communication, budgeting, file maintenance, inventory, and administrative tasks to ensure smooth operations across all store locations.
Responsibilities- Accounting support and invoicing discrepancy resolution.
- Process equipment/installation purchase orders and change orders.
- Receive vendor PO acknowledgments, advise, assist with and resolve discrepancies.
- Maintain vendor contact lists and certificates of insurance.
- Create and maintain facility filing systems (e.g., Officetrax).
- Enter new store information and add serial numbers into Officetrax.
- Update preventative maintenance contractor data.
- Maintain inventory spreadsheets for DC‑used equipment and expedite deliveries.
- Perform light warehouse work when needed.
- Support other projects as the department evolves.
- Perform all tasks in a hands‑on, flexible manner to help the company thrive.
- High school diploma, GED, or equivalent experience (required).
- OSHA 10 certification (preferred).
- Highly organized with the ability to manage multiple projects simultaneously.
- Excellent customer service and written & verbal communication skills.
- Strong problem‑solving, prioritization, and interpersonal skills.
- Ability to adhere to strict deadlines and work under pressure.
- Proficiency with Microsoft Word, Excel, Outlook, SharePoint; familiarity with SAP required.
- Flexible and adaptable to changing priorities and procedures.

Physical Capabilities and Environmental DemandsRequired lifting and carrying abilities: up to 10 lbs. constantly, 11‑20 lbs. frequently, 21‑50 lbs. occasionally, and 51‑100 lbs. occasionally (team lift). Must push or pull up to 15 lbs. frequently and occasionally 16‑100 lbs. Must frequently use the computer and perform fine motor tasks. Must stand, walk, bend, twist, reach, and sometimes sit, squat, kneel, or climb as needed.
Environmental Requirements- Work with sharp tools, dust, fumes, and congested worksite.
