Job Description
Senior Administrative Assistant – support our Executive Directors in a dynamic biopharmaceutical company.
Responsibilities- Efficiently manage calendars, schedule meetings, and coordinate appointments.
- Organize and coordinate travel arrangements, including flight bookings, accommodation, and transportation.
- Prepare meeting documents such as agendas, presentations, and reports.
- Coordinate the logistics of meetings and conferences, including room bookings, equipment setup, and catering services.
- Take meeting minutes, distribute them to participants, and follow up on actions.
- Manage incoming and outgoing correspondence on behalf of Executive Directors, including sorting and prioritizing emails, letters, and phone calls.
- Draft and proofread documents, presentations, and reports.
- Maintain confidentiality and handle sensitive information with discretion.
- Maintain organized and up-to-date electronic and physical filing systems.
- Manage databases, contact lists, and other relevant records.
- Retrieve and provide accurate information upon request.
- Provide administrative support to Executive Directors including expense reports.
- Provide general administrative support to the department through processing invoices and budget tracking.
- Assist with special projects and events as directed.
- College diploma/DEC (Bachelor degree is an asset).
- Proactivity is required.
- Proven experience as an executive administrative assistant or in a similar role.
- Fluency in French is required.
- English is an asset for business relations with national and international stakeholders.
- Strong organizational skills with the ability to manage multiple tasks and prioritize competing demands.
- Excellent written and verbal communication skills, including the ability to draft professional documents and correspondence.
- Proficiency with productivity tools such as the Microsoft Office suite (Word, Excel, PowerPoint) and calendar management software.
- Exceptional attention to detail and accuracy.
- Ability to work independently with minimal supervision.
- Discretion and confidentiality in handling sensitive information.
- Strong analytical skills.
- Flexibility to adapt to changing priorities and work within tight deadlines.
Position performs a combination of remote work and in-person at Kirkland Head Office based on nature of work to be done.
