Job Summary
The Data Systems Coordinator provides quality control over the data input and output of a computer system.
Core Responsibilities- Conducts routine data audits to verify CRM accuracy and completeness.
- Identifies and resolves discrepancies in collaboration with the enrollment team.
- Tracks and reports on Pipeline QA, Call QA, and other key performance indicators.
- Develops and refines the enrollment team’s dialer schedules to maximize efficiency, ensuring peak performance of calling campaigns.
- Disseminates regular and ad‑hoc reports to the enrollment and leadership teams.
- Contributes to weekly and semester forecasting efforts to inform enrollment strategies.
- Creates and maintains detailed process guides, workflow documentation, and training resources to support consistent team operations and onboarding.
- Maintains enrollment team evaluation data and develops new variations to meet evolving business needs.
- Coordinates lead distribution and calendar management to align with enrollment priorities.
- Supports the Assistant Director with scheduling and adherence tracking for enrollment campaigns.
- Partners with the Online Data, Technology, and Operations teams to streamline reporting, enhance technology use, and drive continuous process improvement.
- Assists in planning and executing cross‑functional projects to support UTSA Online growth.
- Develops training materials and contributes to team development initiatives.
- Manages daily operations of the enrollment team’s calling technology, including building call lists, importing/exporting data, and preparing performance reports.
- Provides full dialer support to leadership to ensure alignment with campaign goals.
- Performs other duties as assigned.
- Associate’s degree from an accredited institution.
- Two (2) years of experience in data management, processing, or analysis.
- Proven understanding of CRM data management and sound data practices.
- Proficiency in MS Excel and data reporting.
- Ability to maintain the security and integrity of UTSA and its infrastructure.
- Bachelor’s degree from an accredited institution.
- Ability to coordinate a number of complex ongoing activities and projects.
- Ability to exercise initiative, independent judgment, discretion, and flexibility.
- Ability to work effectively with a variety of professional, administrative and support staff.
- Excellent verbal and written communication skills.
- Office Environment.
- Some travel is required.
- Occasional evening and weekend work is required.
- Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally.
- Ability to exert up to 10 pounds of force to life, carry, push, pull or otherwise move objects.
This position will work both on campus and remotely in Texas. Travel and parking expenses are the employee’s responsibility.
This position is contingent upon a successful background check. Verification of a valid driver’s license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
