The purpose of this Legal Secretary I position is to provide the necessary administrative support for the Administrative Law Judge (ALJ) Division. This position assists with maintaining the electronic judicial docket in specialized legal areas including Worker’s Compensation and other areas within the jurisdiction of the Industrial Commission.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures. The State of Arizona strives for a work culture that affords employees flexibility, autonomy, and trust. All work, including remote work, should be performed within Arizona unless an exception is properly authorized in advance.
Job Duties- Prepare and serve judicial Notices, Decisions, Awards, Orders, Subpoenas, correspondence, etc., while using proper format and legal style, as directed; maintain/update case management and hard copy hearing files and records; transfer files to the ALJ portal and close case files.
- Organize, schedule, reconcile and monitor the ALJ docket; coordinate judicial calendars with litigants and witnesses for accurately scheduled hearings; contact experts and lay witnesses and prepare subpoenas for attendance at hearings; arrange for attendance of court reporters, interpreters and other individuals necessary for full and fair hearings.
- Answer and screen all incoming phone calls from internal and external customers regarding workers’ compensation and other cases pending in the ALJ Division and route the customer to the appropriate Agency personnel; timestamp all incoming correspondence, documents and faxes, evaluate and prioritize, then route to proper individuals; monitor the ALJ Division Case Information System (ALJ Portal) daily.
- Retrieve and prepare files for inspection by parties or attorneys; collect and process outgoing mail; schedule hearing rooms and confirm service of court reporters and interpreters for hearings; create, publish and update the division-wide daily hearing calendar; ensure that office equipment is working properly and initiate procedures for repairs.
Knowledge in:
- Establishes office policies sufficient to monitor timelines and assign work so deadlines are met.
- Techniques in screening incoming correspondence, telephone calls and dealing with the public.
- Arizona Workers’ Compensation laws, rules and legal principles.
- Legal forms and formats sufficient to prepare orders and decisions and to compose general correspondence.
- General law office or judicial office policies and procedures for legal case management and docket management.
- Windows, Outlook, Word, Excel, computer‑based legal case management systems and portals, as well as office equipment such as copiers and transcribers.
- English grammar and usage, and legal and medical terminology sufficient to prepare judicial orders, decisions and correspondence.

Working knowledge of Arizona Workers’ Compensation claims processing procedures, including the hearing process; experience working with judicial case management systems; secretarial and/or office training courses (1 year on‑the‑job training).
