The Program Assistant works closely with the Program Coordinator and Program Specialist or Program Manager and/or Executive Director to handle logistics, data entry, communications, and basic outreach so programs and events run smoothly.

Key Responsibilities
  • Program and Event Support Assist with scheduling, logistics, and basic coordination for workshops, webinars, and cohort sessions (virtual and in-person). Help set up Zoom meetings and other virtual platforms, admit participants, monitor chat, and take notes. Prepare and organize program materials such as sign‑in sheets, slide decks, handouts, and follow‑up emails. Support outreach to cities, chambers, libraries, and partners by sending templated emails and tracking responses.
  • Participant and Stakeholder Assistance Respond to routine inquiries from entrepreneurs and partners or route questions to the appropriate staff member. Maintain a friendly, professional tone in all communications and provide reminders for upcoming events. Assist with registration, confirmations, and attendance tracking for events and cohorts.
  • Data and Record Keeping Enter and update participant, event, and partner information in the client management/CRM system. Ensure data is accurate, complete, and entered on time after events and meetings. Help generate simple lists or summaries (e.g., attendance lists, contact lists) as requested by program staff.
  • Administrative and Grant Support Provide administrative support for internal and collaborative meetings, including scheduling, calendar invites, and basic minutes. Assist with organizing digital files, shared drives, and folders for grants, programs, and events. Collect basic program data (attendance, surveys, sign‑in sheets) to support grant reporting and evaluation.
  • Marketing and Outreach Support Help prepare and post approved content for flyers, email announcements, and social media under guidance from senior staff. Maintain up‑to‑date contact lists for email distribution and partner outreach. Other duties as requested or required in support of the Collaborative’s mission.
Qualifications

Some college coursework or an associate degree preferred; relevant experience may substitute.

1–2 years of experience in administrative support, customer service, event support, or a similar role.

Basic proficiency with Microsoft Office and Google Workspace; willingness to learn CRM and event platforms (e.g., Eventbrite, Zoom).

Strong attention to detail, organization, and follow‑through.

Clear written and verbal communication skills.

Interest in small business, entrepreneurship, or nonprofit/community work is a plus.

Required Skills and Attributes
  • Reliable, responsive, and able to complete tasks on deadline with guidance from supervisors.
  • Comfortable working in a remote environment and asking questions when clarification is needed.
  • Positive, customer‑service mindset when working with entrepreneurs and partners.
  • Ability to manage multiple small tasks at once and track progress.
Work Environment

Primarily a full‑time remote position based in the Inland Empire region. Regular work hours are Monday–Friday, 9:00 a.m.–5:00 p.m., with occasional evening or weekend hours for events (daily hours flexed to not exceed 8 hours per day). Flexible hours to accommodate necessary schedules for work. Must have a reliable internet connection and a quiet, professional workspace for virtual meetings. Must have cell phone and be willing to use for work.

Must have reliable transportation to/from events.

Occasional local travel may be requested to support in‑person events and meetings. Local travel is required for meetings and events within the Inland Empire region, on occasion, in the High Desert, Coachella Valley, Orange and Los Angeles counties.
