The Founder of a highly successful interior design firm seeks an extraordinary Executive/Personal Assistant who wants to become part of a great organization.
The purpose of the role is to support the Principal/Owner of this firm to allow him to operate at the highest level possible. The interior design industry is such that the lines between “business” and “personal” are blurred. Therefore this position involves all levels of support. Approximate division of business vs. personal assignments is 50/50.
This is a high profile role that is very important. We do not see it as a secondary role within our company. Beyond handling day to day activities, you will anticipate needs, create processes and help the entire team operate more efficiently. You will act as a buffer between the Principal/Owner, internal team and external parties. In many cases, you will be the first point of contact for external parties.
This requires discretion, attention to detail and intuition.
You should be very comfortable handling day to day tasks such as calendaring, booking travel, dinner and entertainment reservations, dog walking, dry cleaning, personal shopping and home management. In addition, you should have the foresight to research and collect information to help the founder be prepared for meetings, phone calls, and all decisions.
Responsibilities:- Founder scheduled, prepared and prompted for all meetings, deadlines and designated commitments.
- Well coordinated travel and social arrangements. Includes travel booking, client and marketing events, business and social engagements, lunches, dinners, and tracking of expenses.
- Personal business such as dog walking, dry cleaning, personal travel, gift buying, home management, etc.
- Timely and effective completion of designated special projects such as downloading/printing of photos, wrapping, shipping of gifts, thank you notes, dinner parties, personal shopping, special assignments.
- Comprehensive screening and prioritization of emails and phone calls.
- This can be partial in office/partial wfh position. THIS IS NOT A FULLY REMOTE POSITION. FULLY REMOTE CANDIDATES NEED NOT APPLY.
