Position Summary

We are seeking an experienced receptionist / adminasst. to join our team! We will train you how to support our team’s unique efforts toward successful outcomes for our clients. The ideal candidate is proactive, highly organized, and comfortable in a customer-service environment with familiarity of office technology / software.

Key Responsibilities
  • Provide administrative support to the team.
  • Assist with answering inquiries, scheduling, preparing documents, maintaining records, communicating with clients, and other duties as assigned.
  • Create first drafts of documents and written materials for review and editing by others.
  • Maintain confidentiality and discretion.
  • Assist with keeping calendar appointments accurate and updated.
  • Communicate effectively with both Spanish-speaking and English-speaking clients.
  • Help maintain detailed case files and update the case‑management database (Clio/Needles or similar) with notes, tasks, and deadlines.
Required Qualifications
  • Experience interacting directly with customers in both Spanish and English in a similar role.
  • Ability to learn new tasks quickly and ask questions when direction is not clear.
  • Exceptional written and oral communication skills, with meticulous attention to detail.
  • Ability to prioritize, multi‑task, and thrive under deadlines while maintaining professionalism and empathy.
  • Willingness to use AI tools to assist in your work.
  • On-site work from 9a - 5p (not a hybrid or remote position). Punctuality and attendance is very important.
