The Wisconsin Department of Children and Families (DCF), Division of Management Services (DMS), Administrator’s Office is currently recruiting to fill a Records and Forms Officer position. This position may allow hybrid work for a portion of the work schedule up to 95% depending on the employee’s preference and needs of the work unit. Hybrid work flexibility that may be available will be discussed in more detail in the interview process. Employees may need to report to a DCF office location on short notice.

High speed internet access is required to meet the needs of remote work.

Position Summary

This is professional work related to the Department of Children and Families (DCF) records and forms/publications management programs. As the Department Records and Forms Officer under the general supervision and direction of the Agency Operations section manager, this position is responsible for management of all department records and forms/publications activities including providing leadership, technical assistance, and direction to department staff. Provide direction to the division records and forms/publications coordinators in implementing and monitoring the records and forms/publications for their division.

Information

The classification title for this position is Records Forms Management Specialist – Advanced. The starting salary is between $30.00 and $40.00 per hour ($62,400 and $83,200 annually), depending on qualifications. Pay for current State of WI employees will be based on the compensation plan in effect at the time of the appointment. Pay for current state employees who are transferring will be determined based upon the pay on transfer rules (higher level duties or equity) as outlined in the compensation plan in effect at the time of appointment.

The pay schedule/range is 07-03. A one-year probationary period may be required.

Job Details

Due to the nature of the position, final candidates may be required to allow DCF to conduct a security background check to determine whether the circumstances of any pending charges or convictions would be substantially related to the job being filled.

Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., a lawful permanent resident, an alien authorized to work in the U.S. without DCF sponsorship). The Department of Children and Families does not sponsor visas, either at time of hire or at any later time.

Qualifications

Minimally qualified applicants will have:

  • Experience working with data tracking/record keeping (establishing/following filing procedures, tracking/logging data, tracking status/completion, etc.)
  • Experience developing, revising and publishing forms and/or documents according to compliance rules or standards (reviewing and editing written materials, publishing manuals, E-forms, etc.)
  • Experience providing formal training and/or technical assistance using virtual platforms (Zoom, Microsoft Teams, etc.) to work groups and/or committees

Well-qualified Applicants Will Have:

  • Experience maintaining forms control and/or electronic forms development and management (enhancing publication databases, establishing publication timelines, etc.)
  • Experience leading programs or projects using continuous improvement and/or project management principles and best practices (developing project plans, maintain timelines, negotiating resources, status reporting, etc.)
  • Experience working with Wisconsin Public Records law.
  • Experience utilizing and maintaining Microsoft Access databases (entering data, creating queries, running reports)
