Our organization is a small US-based membership association representing institutions of higher learning in a health care field.

This fully remote position is for someone who will handle administrative and support functions for the office of the CEO. The person in this position will work closely with the CEO, and develop/maintain good communications with other staff members and volunteers. Tasks include managing and coordinating schedules and travel arrangements, taking meeting minutes, preparing and compiling advance meeting materials, assisting with meeting logistics, maintaining activity calendars, collecting and compiling data, record-keeping (including maintaining database records), managing email and phone communications, and assisting with special projects (such as a volunteer appointment process), among other duties.

Some volunteer management work is included.

Desired skills include:

  • Understanding the membership association business model and previous experience working in an association.
  • 1-3 years’ experience serving as an executive assistant.
  • Ability to multi-task and manage multiple programs and projects simultaneously.
  • Must be able to work well under pressure and meet deadlines.
  • Impeccable customer service skills and ability to work collaboratively with volunteers and other staff.
  • Sophisticated command of Microsoft Office Suite products, especially Outlook, Word, Excel, Teams, PowerPoint.
  • Technological proficiency to understand and quickly learn business platforms for membership (ReMembers, formerly Impexium), event registration (Cvent), timekeeping, communications (Zoom, Adobe, Canva, Greenvelope, etc.) and other related business purposes. Must enjoy adopting and learning new technologies.
  • Strong, demonstrated skills in verbal and written communications.
  • Comfortable working in a small organization that operates remotely; hands-on work style and approach. Experience preparing timely, accurate, and comprehensive written reports.
  • Self-starter, proactive, and persistent; flexible and resourceful.
  • Strong problem-solving skills.
  • Positive, cheerful, and intellectually curious.
  • Able to travel and to work some evenings and weekends.
  • Valid driver’s license.
