Personal/Executive Assistant provides high-level administrative, operational, and personal support to the Owner. This role acts as a trusted gatekeeper and right hand, ensuring the Owner’s time, priorities, and projects are managed efficiently. Responsibilities span business operations, executive coordination, communication management, and occasionally personal tasks that support the Owner’s productivity and well‑being.
Key Responsibilities Executive & Administrative Support- Manage complex calendars, scheduling meetings, appointments, and travel.
- Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Owner.
- Prepare reports, presentations, meeting agendas, and follow‑up notes.
- Ensure the Owner is prepared for all meetings, events, and commitments.
- Assist with planning, organizing, and tracking ongoing business projects.
- Conduct research, prepare summaries, and deliver insights for decision‑making.
- Coordinate with internal teams and external partners to move initiatives forward.
- Maintain confidential files, documents, and records.
- Serve as a professional representative of the Owner in all interactions.
- Build strong relationships with clients, vendors, and team members.
- Handle confidential and sensitive information with discretion.
- Manage personal calendars, errands, appointments, and household‑related tasks as needed.
- Coordinate personal travel, events, and reservations.
- Oversee personal vendors and service providers (e.g., contractors, maintenance, home office support).
- Arrange domestic and international travel, including flights, accommodations, itineraries, and transportation.
- Ensure seamless logistics and prepare detailed travel briefs.
- Anticipate the Owner’s needs and address issues before they arise.
- Identify opportunities to streamline systems and improve efficiency.
- Handle last‑minute changes with flexibility and professionalism.
- 3–7 years of experience supporting an executive, business owner, or high‑level leader.
- Exceptional organizational and time‑management skills.
- Strong written and verbal communication abilities.
- High level of professionalism, discretion, and confidentiality.
- Proficient in office software (Google Workspace, Microsoft Office, task/project management tools).
- Ability to multitask and prioritize in a fast‑paced environment.
- Proactive, resourceful, and detail‑oriented.
- Valid driver’s license (if personal errands or travel support are required).
- Flexibility to work outside standard hours when needed.
- Experience in small business, entrepreneurial environments, or startups.
- Background in project management or operations.
- Ability to travel with the Owner on occasion.
Compensation: $70,000 to $80,000 annually
Compensation is based on a range of factors that include relevant experience, knowledge, skills, other job‑related qualifications.
