We’re excited to introduce a new opportunity within our Company Secretariat team. As a Company Secretarial Assistant, you will play a key role in supporting a wide range of governance and company secretarial activities, contributing to the smooth and effective operation of the function.
This role is ideal for someone who is proactive, positive, and highly organised, with a passion for delivering exceptional support to both internal and external stakeholders. You will bring strong attention to detail, excellent communication skills, and the confidence to build constructive working relationships across all levels of the organisation.
While you don’t need deep technical company secretarial experience, we’re looking for candidates with some exposure to governance or administrative roles who are keen to grow and progress within a high‑performing Company Secretariat team. Whether you are currently working as a Company Secretarial Assistant or in a similar support capacity, we would be delighted to hear from you. Key skills, including attention to detail, will be assessed during the selection process.
What You’ll Be Doing
This role provides the opportunity to gain hands‑on experience supporting the governance activities of both a FTSE
100 listed company and its private subsidiaries. You will help ensure we meet all reporting, regulatory, and legislative requirements while upholding strong governance across the Group.
You will work closely with internal and external stakeholders, building trusted relationships and helping maintain effective processes, documentation, and compliance standards. Alongside your core responsibilities, you’ll also support projects and wider programmes of work as directed by the Senior Assistant Company Secretary.
Key Responsibilities- Coordinating Board logistics, including travel, accommodation, expenses, site visits, and the AGM.
- Organising induction programmes and logistics for new Non‑Executive Directors.
- Supporting annual Board performance evaluations.
- Assisting with Board and Committee governance, including preparing agendas, minutes, written resolutions, and distributing papers through our secure online portal.
- Supporting statutory and regulatory compliance, including annual report and accounts processes and confirmation statements.
- Drafting documents for intra‑group transactions, including loans, share capital changes, and other corporate actions.
- Updating and maintaining statutory records using our entity management system.
- Providing administrative support for the corporate reporting programme, including scheduling, proofreading, data/narrative verification, and drafting papers.
- Issuing routine stock exchange announcements.
- Liaising with a wide range of stakeholders, such as Board members, auditors, Finance, Communications, and Compliance teams.
You'll be based at our Severn Trent Centre in Coventry. With this being such a critical role, we’re looking for someone who can join us 37 hours a week
