Reports ToSenior Executive Assistant (SEA)
Job SummaryThis role provides high-quality, structured administrative support under the direction and coordination of the Senior Executive Assistant. The Administrative Assistant focuses on operational and day-to-day tasks, enabling the Senior Executive Assistant to concentrate on senior-level priorities, stakeholder management, and strategic coordination. Working within established processes and priorities set by the Senior Executive Assistant, the Administrative Assistant plays a key supporting role in ensuring the smooth and efficient running of the executive office.
Responsibilitiesand Duties Administrative & Operational Support
- Provide day
-to- day administrative assistance to the Senior Executive Assistant. - Manage routine scheduling, room bookings, and simple calendar tasks as directed by the SEA.
- Support travel coordination by preparing itineraries and documentation (including visa)
- Maintain clear communication with the SEA on workload, deadlines, and task status.
- Handle meeting logistics (catering orders, materials preparation, visitor passes, audio/visual equipment setup).
- Track office supplies, order materials, and coordinate with facilities and SEA.
- Assist with expense submissions and invoice processing .
- Conduct basic research or compile information packs as briefed by the SEA
- Prepare basic communications, draft emails, and update templates as assigned.
- Capture meeting notes for internal admin meetings when requested.
- Maintain contact lists, distribution groups and shared folders.
Provide backup coverage for other Executive Assistants as coordinated by the SEA.
Handle ad - hoc tasks and projects delegated by the Senior Executive Assistant.
Education & Qualifications- Business Administration diploma/certificate or other related qualification preferred.
- A degree in Business, Management or a related field is an advantage but not required.
- Strong organisation and attention to detail.
- Proactive but comfortable working within defined processes and direction .
- Confident asking questions and escalating any issues or concerns to the SEA .
- Excellent communication and relationship - building skills.
- Ability to manage multiple tasks with consistent follow
-through. - Previous admin experience preferred .
- Maintain professionalism, confidentiality and data protection
