HMP Oakwood is an innovative prison highlighted by HM Inspectorate of Prisons as an “Impressive institution, with a culture of decency and respect. Within Care and Rehabilitation Services, we rehabilitate offenders and equip them to reintegrate into mainstream society on release. We aim to create an environment where staff and prisoners feel safe, and causes of prison stress are minimised.
Central to our philosophy is the relationship between staff and prisoners.
- Administer the monthly payroll system and processes for directly employed staff.
- Process monthly payroll data load including calculating Statutory Sick Payments.
- Reconcile the monthly Gross Cash File and process amendments.
- Answer employee pay queries to ensure accurate payment.
- Monitor and track employee absences, ensuring appropriate documents are submitted and management maintains regular contact.
- Track sickness triggers and arrange sickness disciplinaries, providing relevant documents to the Disciplinary Manager.
- Provide administrative support to assist in the smooth running of the onsite HR department.
- Support HR enquiries in a professional manner, escalating as appropriate to resolve queries or enable actions to be taken.
- Act as a trained Vetting Contact Point (VCP) and undertake Security Vetting interviews for newly appointed staff, subcontractors and renewals, supplying and clarifying information to ensure compliance with National Offender Management Services and Company standards.
- Deal effectively with incoming and outgoing mail, ensuring it is opened, date‑stamped and issued to the appropriate team member.
- Prepare standard letters and other documentation as required to meet departmental needs.
- Maintain accurate electronic filing systems so that information can be readily accessed.
- Communicate effectively, both verbally and in writing, with all internal and external stakeholders in line with company policies and procedures.
- Create and maintain personnel records, both computerised and manual, ensuring they are accurate and current.
- Collate, produce and distribute regular and ad‑hoc HR data, statistics and reports so that individuals and departments receive accurate up‑to‑date information.
- Undertake minutes of meetings such as investigations, sickness disciplinaries, grievances, welfare support meetings, disciplinary meetings, etc., to support members of the HR Team and managers carrying out such meetings.
- Organise and co‑ordinate meetings, diaries and events, ensuring individual and departmental objectives are met.
- Provide administrative support, including supporting recruitment activities, to ensure departmental and business needs are met.
- Experience of working within an HR environment and ability to work as part of a fast‑paced team.
- IT literate with strong communication and interpersonal skills, together with excellent organisational skills.
