Role Description

Location: Romsey, Hampshire
Employment Type: Permanent
Hours: Full-time, 37.5 hours per week
Working Pattern: Predominantly office-based — candidates must be within comfortable commuting distance of Romsey, Hampshire. Following a successful probation period, some home working flexibility (2–3 days per week) may be available.

PA to CEO – Accountabilities Executive Support & Prioritisation- Manage the CEO’s schedule, priorities, commitments, and communications to maximise time, focus, and effectiveness.
- Coordinate complex diary management, travel, meetings, and scheduling requirements.
- Ensure meetings, priorities, and commitments are appropriately coordinated and aligned to wider business objectives.
- Manage and prioritise inbound communications, escalating or responding where appropriate.
- Act as a gatekeeper and facilitator for information flow to and from the CEO.
- Prepare the CEO for meetings, engagements, and decision-making through briefing packs, agendas, action tracking, and follow-ups.
- Track actions, decisions, and commitments arising from meetings to ensure progress, accountability, and alignment.
- Anticipate needs, identify issues early, and proactively resolve operational challenges before escalation is required.
- Support information gathering, organisation, and prioritisation to aid effective decision-making.
- Support alignment and coordination across strategic initiatives and leadership priorities.
- Coordinate across teams to remove friction, unblock issues, and maintain operational momentum.
- Coordinate communication between the CEO, leadership team, and wider business.
- Maintain professional relationships with clients, partners, stakeholders, and senior contacts on behalf of the CEO.
- Act as a central coordination point for internal and external stakeholders.
- Represent the CEO and the business with professionalism, discretion, diplomacy, and sound judgement.
- Handle confidential, commercially sensitive, and people-related information appropriately and with a high level of discretion.
- Support the smooth day-to-day operational flow across leadership activity and business priorities.
- Ensure key deadlines, deliverables, and dependencies remain visible and on track.
- Identify risks, gaps, or operational challenges early and support practical resolution.
- Contribute to creating efficient, organised, and scalable ways of working across the business.
- Strong skills in executive administrative assistance, personal assistance, and diary management
- Proficiency in clerical skills and administrative assistance
- Professional demeanour with excellent communication and interpersonal skills
- Ability to manage multiple priorities and maintain confidentiality
- Proficiency in using Microsoft Office Suite and other relevant office software
- Proactive approach to problem‑solving and a high level of attention to detail
- Previous experience in a similar role, ideally supporting senior executives
