Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
About the role
We are looking for a Project Administrator to join our UKCS Scotland business, based on site in Dumbarton
. This is a key role supporting the successful delivery of project operations by providing a wide range of administrative and business support services to the project team.
Working closely with the Project Manager and wider site team, you will play an integral part in ensuring the smooth and efficient running of the site office. You’ll contribute to maintaining high standards across administration, document management, and team coordination, while supporting our commitment to safety, sustainability and operational excellence.
What you'll be doing- Provide a full range of administrative support to the project team to ensure efficient day-to-day operations
- Carry out general administration duties including minute taking, document preparation, scanning and filing
- Support reception activities and act as a first point of contact on site
- Produce spreadsheets, documents and presentations using Microsoft Office
- Assist with report preparation and data collation
- Support site inductions and manage M‑Site (biometric system) requirements
- Upload and manage project documentation within BIM and SharePoint systems, ensuring teams are kept informed of updates
- Manage meeting room bookings and coordinate diaries
- Arrange and support meetings, conferences and site events, ensuring facilities are organised
- Help maintain the site office, including ordering and replenishing PPE and general office supplies
- Maintain accurate and secure electronic and paper filing systems, including archiving
- Handle confidential information with discretion and professionalism
- Provide ad‑hoc administrative support to the project team as required
- Support health, safety and sustainability initiatives in line with business commitments
We are seeking a highly organised and proactive individual who thrives in a fast‑paced site environment.
You will have:
- Previous administrative or secretarial experience
- Strong organisational skills with the ability to manage multiple tasks and priorities
- Excellent communication skills and the ability to build effective relationships at all levels
- A collaborative approach with strong team‑working capability
- The ability to work under pressure and meet tight deadlines
- A strong customer‑focused mindset
- Advanced IT skills, including Microsoft Word, Excel and Power Point
- Experience using SharePoint and an understanding of document control processes and common data environments
