About the Role

We are recruiting for one Chief Inspector Support Assistant on a permanent contract. The postholder will provide a Personal Assistant (PA) role supporting the Chief Inspector of Registration and Complaints and their Service managers. The Registration team manages registrations for Early Learning and Childcare, Children and Young People, and Adult services; variations, where a service might want to change its conditions of registration and also concerns about illegally operating services from members of staff or the public.

Responsibilities include:

  • Prioritising correspondence and dealing with internal and external enquiries
  • Composing responses to routine correspondence
  • Managing diaries, making appointments, and arranging travel, accommodation, meetings, conference rooms, and hospitality for visitors as necessary
  • Co‑ordinating the administrative process for Scottish Government briefings and adhering to strict deadline requirements
  • Preparing and circulating agendas and paperwork for meetings
  • Attending internal and external meetings, taking minutes, notes and action records
  • Monitoring the shared mailbox and dealing with any tasks required
  • Formatting documents for high‑level management meetings, maintaining staff list spreadsheets, and assisting in the design and preparation of PowerPoint presentations as and when required
About You

Requirements:

  • Educated to SCQF Level 5 or have the relevant skills and experience for the role
  • Experience of providing business support to senior management in a fast‑paced change environment
  • Highly organised, able to plan and manage time and work streams efficiently and effectively
  • Responsive to changing priorities and deadlines, demonstrating flexibility and effectiveness
  • Proactive, confident in using own initiative, attention to detail and commitment to maintaining high standards
  • Team worker able to build and maintain good working relationships
  • Excellent word‑processing and IT skills with experience of Microsoft applications, including Excel; experience of diary management and taking detailed notes or minutes
