Position Overview

The Lease Administrator will work closely with our clients to support across all lease management areas, including abstraction, system updates, and liaising with landlords. The role also involves working on various projects, providing opportunities to learn new systems, processes and procedures.

Responsibilities
  • Assist in administering all levels of lease administration and special projects as needed by management.
  • Assist with abstraction of key data points from leases.
  • Assist with creating leasing data in relevant system(s), while running business processes such as indexation to uplift rent and showing clients commitments to landlords.
  • Assist with client reporting, e.g., scheduling key events and discussing them in detail.
  • Act on behalf of clients to liaise with landlords, request copies of invoices, reconcile receipts and challenge discrepancies.
  • Support system administration activities including user maintenance, updating configuration, and customizing the system.
  • Support running IFRS
    16 calculation in the system after lease updates.
  • Reconcile service charges.
  • Upload sales data and calculate turnover rent (for retail clients).
  • Serve as main contact for internal and external lease‑related enquiries by understanding clients’ portfolios.
  • Assist with the sub‑leasing portfolio, including raising tenant invoices, posting receipts and providing aging reports.
Qualifications
  • Must be able to work during UK/NA hours and South African public holidays (with UK/NA holidays instead of SA holidays).
  • 2‑4 years’ experience as a Lease Administrator focused on occupiers in the commercial sector.
  • Ability to communicate effectively with clients, peers and management through written and/or verbal communication.
  • Ability to work independently and under deadlines.
  • Good organisational skills and ability to manage priorities.
  • A high degree of dependability, motivation and flexibility.
  • Nice to have
    • Experience using MRI Software applications.
    • Legal background.
    • Understanding of property & lease management processes & principles.
    • Comfortable with system administration tasks (non‑technical).
    • Knowledge of turnover rent and/or IFRS
      16.
    • Previous experience with client‑facing roles.
