Purely Adoptions is a Singapore-based animal welfare charity dedicated to rescuing, rehabilitating and rehoming abandoned, abused and neglected animals. Through our network of volunteers, fosterers and supporters, we work tirelessly to give animals a second chance at life.
OverviewWe are looking for a passionate and organised individual to join us as an Administrator. This role is ideal for someone who loves animals, enjoys administrative work, and wants to contribute meaningfully to the animal welfare community in Singapore.
Key Responsibilities- Maintain and organise charity records, documents, and files.
- Prepare and update reports, meeting minutes and administrative paperwork.
- Ensure proper filing and record-keeping for organisational activities.
- Maintain volunteer, donor and stakeholder databases.
- Coordinate with department heads and volunteers on ongoing projects and activities.
- Follow up on action items and ensure timely completion of tasks.
- Schedule meetings and prepare meeting agendas when required.
- Act as a central point of contact for internal administrative matters.
- Prepare and respond to correspondence from government agencies, authorities and relevant stakeholders.
- Assist with charity compliance documentation and submissions.
- Maintain records required by regulatory bodies and auditors.
- Ensure organisational documents are kept up to date.
- Assist management with special projects and initiatives.
- Support fundraising events, adoption drives and community outreach activities from an administrative perspective.
- Handle general enquiries and administrative requests.
- Passionate about animal welfare and aligned with the mission of Purely Adoptions.
- Strong organisational and administrative skills.
- Good written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Able to work independently and manage multiple tasks.
- Meticulous, responsible and able to maintain confidentiality.
- Prior experience in administration, secretarial or non-profit organisations is an advantage.
- Work From Home (Singapore-based preferred).
- Flexible working hours, subject to operational requirements.
