Receptionist/Administrator The closing date is 17 July 2026

We are looking for a committed, reliable administrator to join our administrative team who will assist in welcoming, supporting and directing all visitors to the Newsam Centre. You will be directed and guided by the Team coordinator but will at times work using own initiative within the boundaries of the role.

We provide a high-quality support service which is integral to the success of the service, and we are looking for someone who feels they can enhance the admin provision already being provided.

You will be an experienced team player who has the skill, knowledge, and the right attitude able to assist in the delivery of a high quality, reception service. You will be self‑motivated and able to work effectively, in what can at times be a pressurised environment. You will have good networking skills able to approach, discuss and advise visitors within the boundaries of the role.

You will have the following skill and experience, note taking experience, basic word processing skills. Previous experience in a similar administration post will be beneficial, proficient user of the Microsoft package.

The role will also require excellent communication skills, organisational skills, basic word processing skills with some knowledge/experience of digital dictation systems. You will have the ability to work independently but able to accept direction from the Line Manager as required.

Main duties of the job
  • Greeting and directing visitors to the appropriate service
  • Managing telephone enquiries and providing accurate information
  • Supporting administrative tasks to ensure smooth day‑to‑day operations
  • Maintaining confidentiality and demonstrating empathy when dealing with sensitive situations
Essential experience and skills
  • Basic knowledge of office systems and processes
  • Working knowledge of Microsoft Office, especially Word and Outlook
  • Knowledge of other MS Office software (desirable)
  • Understanding of responsibilities of working with confidential information
  • Demonstrated ability to use communication systems such as e‑mail and telephone
  • Basic knowledge of Mental Health Services (desirable)
  • Excellent communication skills and organisational ability
Other relevant skills
  • Word processing skills at RSA2 standard or equivalent
  • Active listening, non‑verbal communication, asking questions, being clear and succinct, clarifying and summarising
  • Collaboration with team members, consistently meeting deadlines, constant communication, problem solving
Experience
  • Experience with the whole Microsoft Office package and its uses
  • Experience being part of a team that delivers highest level of documentation to patients and professionals
  • One year's substantive experience in an administrative post
