Position: People & Office Coordinator

Location: Alderley Park | Business Area: People Support | Salary Details: £25,000

We’re looking for an organised and enthusiastic individual to join our hub at Alderley Park. You’ll support the smooth day-to-day running of the office environment, ensuring a professional, welcoming and efficient workplace for all people and visitors. This is a hands‑on role ideal for someone organised, proactive, and keen to build experience across office management, facilities, and culture.

Please note this role isfull-time office-based at our Head Office at Alderley Park.

Key Responsibilities:

Office Operations

  • Oversee daily office operations, ensuring a clean, safe, and fully functional environment
  • Manage meeting rooms, desk bookings, and shared spaces
  • Maintain office supplies and equipment, ensuring consistent availability
  • Act as the first point of contact for office-related queries
  • Manage bookings for all Chess Hubs across the UK
  • Act as a Fire Marshall and First Aider (Full training provided)
  • Coordinate incoming and outgoing post, parcels, and courier deliveries
  • Liaise with Chess office and hub landlords, external suppliers and contractors for maintenance and service issues
  • Log and track facilities requests and follow through to resolution
  • Support contractor visits and ensure compliance with site processes

Workplace Hospitality

  • Welcome visitors and ensure a professional, warm reception experience
  • Coordinate visitor access, parking, and meeting arrangements on site including the monthly board meeting.
  • Support internal events (e.g. team days, conferences, wellbeing activities)
  • Assist with the new starter onboarding process and induction sessions.

Administrative Support

  • Provide general administrative support to the People and Culture team
  • Maintain accurate records (e.g. assets, access passes, car registrations)
  • Support onboarding tasks, including workspace setup for new starters
  • Actively support with activities and administration required for the cultural team
  • Support with project management of all Chess events, including conferences and Christmas parties.

Health & Safety:

  • Support compliance with health & safety standards and policies
  • Assist with risk assessments, fire drills, and incident reporting
  • Ensure office signage and safety procedures are up to date
  • Administration of annual workstation assessments via our One LMS.
Key

Skills and Experience:

  • Excellent organisation and time management skills
  • UK Driver's License and access to a vehicle
  • Confident communicator with a friendly, proactive approach
  • Great attention to detail
  • Basic IT skills (Microsoft Office/Teams)
  • Willingness to learn and take ownership
  • Previous experience in an office, hospitality, or customer-facing role
  • Experience supporting events or facilities management (even informally)
  • Approachable and service-focused
  • Reliable and hands-on
  • Able to prioritise in a fast-paced environment
  • Positive attitude with a willingness to help others

Working Hours and

Location:

A standard week is 37½ Monday to Friday

FT attendance at our hub Alderley Park
