The RoleThis is an exciting opportunity to join NHSGGC as a Team Secretary within the East Dunbartonshire Alcohol and Drug Service, providing vital support to a multi‑disciplinary team. You will play a key role in ensuring the smooth and efficient running of administrative and clinical processes that directly impact patient care. This role offers variety, responsibility and the chance to build strong working relationships across a wide range of professionals.
Duration,Location, and Working Pattern
- This role is part‑time and on a fixed‑term contract
- You will be working within Kirkintilloch Health & Care Centre
- Monday to Friday 13:00 – 17:00
Please note the salary is pro‑rata for part‑time hours.
Key Responsibilities- Provide a high‑quality secretarial and administrative service to the multi‑disciplinary and multi‑agency team
- Act as a first point of contact managing telephone and face‑to‑face enquiries from staff, patients and external partners
- Organise and support clinics, including maintaining appointment systems and team diaries
- Prepare documents, correspondence and minutes using audio‑typing and administrative systems
- Maintain accurate filing systems and patient records in line with data protection and confidentiality standards
- Manage office systems, including room bookings, stationery supplies and basic financial processes
- Support reception duties and ensure a professional, efficient and welcoming service environment
- Standard Grade English or equivalent experience with strong written and verbal communication skills
- Proven administrative experience preferably within a mental health or healthcare setting
- Proficiency in Microsoft Office including Outlook with strong IT and keyboard skills
- Experience of audio‑typing with a high level of accuracy and attention to detail
- Excellent organisational skills with ability to prioritise workload and meet deadlines
- Strong interpersonal skills with ability to work effectively within a team and across services
- Ability to work on own initiative with flexibility and a proactive approach to supporting service needs
