Responsibilities

To manage and co‑ordinate the inpatient pathway from the decision to admit to the day of admission. Maintain a clear and robust inpatient waiting list, monitor suspension/deferrals and ensure capacity to treat all patients on the waiting list is available, working closely with other Access Team Leaders and the Administrative Service Manager.

  • Manage the inpatient and day cases waiting lists for a delegated number of consultants in accordance with NHS Access Targets and the Trust's Access Policy.
  • Be assigned to Consultant Surgeons and provide support and cover during periods of leave for colleagues.
  • Add patients to the inpatient waiting list from outpatient appointments and ensure all information is entered into the Careflow system.
  • Agree a date of admission according to the waiting times set out by relevant national directives.
  • Support booking and coordination of mutual aid theatre activity by liaising with secretaries and booking teams.
  • Arrange transfers of care internally and externally in accordance with RTT and trust policies.
  • Agree a date for the patient to attend for formal pre‑operative assessment and consent, ensuring the relevant period between appointment and admission date is met.
  • Ensure that joint school is arranged for applicable patients and coupled with other appointments where appropriate.
  • Appropriate patients to be added to Remcare for pre‑operative questionnaire and followed up accordingly, communicating with patients and scheduling.
  • Make amendments to clinic slots and occasionally set up additional clinics on Lorenzo.
  • Ensure all relevant documentation is present in the Health Care Records and all systems are updated.
  • Liaise with Team Leader/Supervisors regularly to receive updates on waiting times and discuss and make recommendations to improve waiting list management.
  • Ensure patients receive all the relevant documentation pertaining to their admissions.
  • Plan and liaise with Consultants regarding admissions for their operating sessions.
  • While arranging admission dates, use knowledge of operating list capacity to plan operating lists.
  • Re‑arrange cancellations (with and without consultant consultation) where appropriate, ensuring full utilisation of theatre lists.
  • Provide information for clinicians regarding their waiting lists.
  • Provide a high level of customer care, exchanging information with patients and staff regarding admission processes and procedures.
  • Liaise with the Head of Patient Access and Administrative Services Manager to ensure all lists are utilised and planned efficiently.
  • Deal with queries from patients, medical and nursing staff in a diplomatic and sympathetic manner.
  • Participate in new staff training within the Department.
  • Maintain PAS details and update patient details.
  • Liaise with the pre‑op department regarding changes, bookings, cancellations.
  • Liaise with other hospitals to ensure notes and x‑rays are forwarded for patients to be admitted.
  • Provide support to the Patient Access Manager, Administrative Services Manager and Team Leader.
  • Exercise initiative, demonstrate independent judgement and decision‑making with regards to bookings.
  • Facilitate service improvement to streamline patient journeys and ensure the Trust delivers a high‑quality, gold‑standard service.
  • Maintain consultant computerised diaries and hard‑copy diaries.
Qualifications
  • GCSE level or equivalent (including Maths and English) or NVQ3 or comparable training.
  • Experience working in a busy office environment and using computers.
  • Experience with Careflow and Bluespier desirable; training will be provided.
  • Previous experience in a Medical Records or Access Department.
  • Knowledge of NHS RTT Targets and booking systems.
  • Ability to manage a busy workload with accuracy and attention to detail.
  • Good communication and interpersonal skills; able to work flexibly as a team player.
  • Ability to exercise initiative, independent judgement and decision‑making regarding bookings.
  • Display discretion when dealing with sensitive and confidential information and handle all interactions calmly and politely with staff of all levels and the public, by telephone or face‑to‑face.
