The Executive Secretary is a volunteer, remote role that supports the smooth administrative and operational functioning of Blue Crystal Literary Magazine. This role involves managing correspondence, scheduling and coordinating virtual meetings, maintaining records and documentation, and assisting with the organization of literary projects such as anthologies and contests. The Executive Secretary will liaise with contributors, partners, and internal team members to ensure timely responses and efficient communication.
Daily tasks may include handling email inquiries, preparing agendas and minutes, updating databases, and supporting editorial and leadership staff with executive administrative assistance. The position offers the opportunity to contribute meaningfully to a creative, mission‑driven literary organization while working flexibly from any location.
- Strong clerical skills, including record‑keeping, document organization, and basic data entry
- Effective written and verbal communication skills and a professional, courteous manner in all interactions
- Experience or familiarity with company secretarial work, such as preparing agendas, minutes, and managing official documentation
- Background in executive administrative assistance, including scheduling, coordinating meetings, and supporting leadership with day‑to‑day tasks
- Customer service skills, with the ability to respond to inquiries promptly and support contributors and collaborators with care
- Comfort with remote work tools (email, shared documents, virtual meeting platforms) and good time management
- Attention to detail, reliability, and the ability to handle confidential information with discretion
- Interest in literature, arts, or publishing; prior experience in a literary or nonprofit setting is beneficial but not required
