What role will you play?Working in a fast-paced and close-knit team environment, you will collaborate with other Executive Assistants across various internal teams to provide high-level support to executives and team members. Your primary responsibilities include ensuring seamless calendar coordination, organizing internal or external calls and meetings with offices across multiple time zones (booking rooms, arranging catering and preparing meeting materials), managing extensive inboxes, and coordinating complex domestic and international travel plans (including flights, accommodation, visas, transportation and client entertainment).
In addition, you will support and arrange local staff events, process purchase orders and invoices, and manage monthly expense claims.
Requirements- Relevant experience in EA and/or team support roles, ideally within financial services, fund management, investment banking, or a professional services environment.
- Proven track record of delivering seamless executive assistance and team support, including managing complex global travel arrangements in a fast-paced setting.
- Strong organizational, planning and multitasking skills with the ability to manage conflicting priorities.
- Excellent verbal and written communication skills in English, essential for engaging with key stakeholders.
- Proactive, enthusiastic, collaborative mindset and ability to anticipate team needs while adapting to changing priorities.
