Executive Assistant & Operations Coordinator (Remote)
Location: Remote (South Africa)
Hours: 32–40 hours/week (US EST overlap required)
Employment Type: Full-Time Independent Contractor
We're looking for a highly organized Executive Assistant & Operations Coordinator to support the CEO and oversee day-to-day operational workflows. This role combines executive support with operations coordination, including scheduling, inbox management, billing, invoicing, and administrative processes.
You'll be responsible for keeping operations running smoothly, managing client appointments from scheduling through invoicing, maintaining accurate records, and ensuring excellent communication across all stakeholders.
Key Responsibilities- Manage the CEO's inbox, calendar, and day-to-day administrative support.
- Coordinate client appointments and operational workflows.
- Maintain accurate client and partner records.
- Prepare invoices and support billing through Quick Books.
- Reconcile completed work and track payments.
- Support partnership administration and documentation.
- Maintain reports, contracts, and operational documents.
- Ensure processes are followed accurately and efficiently.
- 3–5 years' experience as an Executive Assistant, Operations Coordinator, or similar role.
- Strong organizational and administrative skills.
- Experience with Microsoft Outlook, Excel, and Quick Books.
- Excellent written and verbal English.
- Ability to work independently with strong attention to detail.
- Available to work 32–40 hours per week with overlap during US Eastern Time business hours.
Nice to Have
- Experience with Smartsheet or PDFfiller.
- Background in consulting, managed services, healthcare, insurance, or occupational health and safety.
- Work directly with an experienced CEO.
