Overview

Bavarian Capital is expanding its internal project team to support a long term engagement with a major Swiss financial services provider. This role is essential for maintaining the organizational structure and meeting the precise objectives of this partnership. By providing dedicated administrative and logistical support, the Project Planning Assistant ensures that every stage of our projects stays on schedule and remains aligned with our standards of quality and reliability.

About the role:

As a Project Planning Assistant, you will join a project management team that values precision and steady progress. This is an entry level position designed for someone who appreciates the details of logistics and clear scheduling. You will work closely with lead managers to track progress across various work streams, ensuring that all documentation is accurate and that timelines are clearly communicated.

Because we are a remote first firm, you will have the autonomy to manage your tasks independently while staying closely connected with the team through structured communication channels. This role provides a solid foundation for a career in professional project management within the financial sector.

Responsibilities
  • Maintain project timelines and update schedules to reflect the current status of ongoing tasks and milestones.
  • Assist in the preparation of project documentation and regular status reports for our Swiss financial services client.
  • Monitor and track internal deadlines to help the team stay proactive and organized throughout the project lifecycle.
  • Organize and facilitate remote meetings by managing calendars and taking detailed, professional minutes.
  • Assist in the collection and organization of data needed for project analysis and progress tracking.
  • Coordinate communications between different team members to ensure everyone has the necessary information to proceed.
  • Support the maintenance of internal project management databases and shared professional files.
  • Help identify potential scheduling conflicts or delays before they impact the overall project delivery timeline.
Qualifications
  • Strong organizational skills and a natural inclination toward maintaining order in complex, multi stage tasks.
  • Excellent written and verbal communication skills with a composed and professional tone.
  • Basic familiarity with project management principles or a strong interest in learning professional planning methods.
  • Proficiency in standard office software including spreadsheets and documentation tools for tracking data.
  • The ability to work independently in a remote environment while remaining focused on collective team goals.
  • A high level of attention to detail and a commitment to accuracy in all administrative and document related work.
  • A reliable and consistent approach to meeting deadlines and managing daily priorities effectively.
  • Flexibility to adapt to changing project requirements as the engagement with our client develops over time.
What we offer
  • A permanent, full time position within a stable and respected investment management firm.
  • A fully remote work arrangement that allows for a professional environment from your own chosen workspace.
  • Competitive pay that is attractive for entry level professionals and reflects the value of your contributions.
  • A professional home that prioritizes steady growth and long term career development.
  • Opportunities to learn from experienced project managers on major international financial services accounts.
  • Access to the digital tools and infrastructure needed to work effectively in a modern, remote setting.
  • A company culture built on mutual respect, clarity, and professional autonomy.
  • A predictable and focused work environment where the emphasis is on quality rather than constant urgency.
