As Document Controller you will respond/report to the Lead DCC / Project Control Manager and be part of our company’s various projects within the Project Control Department.
Responsibilities- Execute document management workflow both in Home Office, Construction sites and Fabrication Yards in accordance with methods and procedure and using Saipem’s tools
- Organize and update Document Registers (both Saipem and Vendors) and Master Data List activities
- Check quality of document list status, workflows, internal distribution, transmittals, etc.
- Check formal quality of the documents before uploading into EDMS
- Ensure tempestive submission and receipt of documents and proper archiving
- Upload documentation and transmittal to EDMS
- Assist in vendor documentation management
- Assist in system management of Client / Vendor comments and related responses
- Upload Project Templates and Contractual Documentation into the system
- Control or assist in workflows management and document distribution
- Control or assist in linking document to activities, to purchase request/order, to plant structure, etc.
- Control documentation formal correctness
- Support the Project Manager and the Risk Owners in minimizing risk impacts and maximizing opportunities identified within the Project
- Support in defining, organizing and managing the Final Project documents handover to the Client
- Bachelor’s Degree in Engineering, Business Administration, Information Management, or a related discipline (Equivalent professional experience in EPC project environments may be considered)
- Minimum 6+ years of experience as a Document Control Coordinator (DCC) or Project Document Controller within Oil & Gas, EPC, or large multidisciplinary projects
- Proven experience supporting engineering, procurement, construction, and commissioning phases of EPC projects
- Demonstrated experience managing Client and Vendor documentation in compliance with contractual and project requirements
- Proficient in English (written and spoken)
- Ability to communicate effectively with multinational teams, Clients, and Vendors
- Strong knowledge of EPC Project Document Management processes and document lifecycle control
- Familiarity with Project Execution Plans (PEP), Document Management Plans (DMP), and Quality Management Systems
- Solid understanding of contractual documentation requirements, document numbering, revision control, and transmittal management
- Experience in managing document interfaces across Engineering, Procurement, Construction, and Vendors
- Knowledge of project close-out documentation and final handover dossiers
- Microsoft Office Suite
- Advanced Excel (pivot tables, formulas, tracking logs, status dashboards)
- Word (formatting, document templates)
- PowerPoint (project reporting and presentations)
- Outlook (professional communication and workflow coordination)
- Electronic Document Management Systems (EDMS)
- Strong user experience with EDMS platforms for document control, workflows, approvals, and archiving
- Ability to manage document uploads, metadata, transmittals, and status reporting within EDMS environments
