As an Executive Assistant within our Supply Chain organization, you will support specific Senior Leadership within our function. You’re a master in the art of organization, with a particular knack for scheduling, time and travel management, and providing the support necessary to help maximize their impact. The leader(s) you support and their networks are set up for success by your prompt correspondence and proactive, solution-based approach.
Your natural adaptability allows you to flourish in an environment that often requires nimble rearrangements, and you consistently remain calm, cool and collected while balancing multiple priorities, including contribution to Supply Chain level project coordination. You enjoy working within a high-paced and hyper-growth environment.
This role is based out of our North Vancouver office and is open to hybrid remote work. Candidates must be eligible to work in Canada.
Meet Your Future Team:
You will be working directly with the leaders you support within our Supply Chain organization and will partner with a team of high-performing Executive Assistants in providing exceptional support to our senior leadership team across the organization.
If you were in the Executive Assistant role now, here are some of the core activities you would be doing:
Providing exceptional executive administrative support with scheduling and calendar management with a proactive approach, and maintaining an organized inbox of the executive according to authorization and confidentialityDrafting email correspondence and managing the email inbox to ensure the leaders you support have the information they need to operate with ease without the necessity of reading email, depending on dayOrganizing international and domestic travel arrangementsFiltering and redirecting incoming communications to the leaders you support based on the nature of the eventsDeveloping agendas, meeting minutes, and presentation materialsProject coordination, contributing to project scope and objectives, and collaborating with all relevant stakeholders as neededEnsuring clear communication and alignment across multiple diverse functions globallyManaging sensitive matters with a high level of confidentiality and discretionBeing responsive to emails/texts/phone calls, when necessary, outside of normal business hoursSetting meeting agendas and working with relevant teams to ensure needs are metParticipating in the management and administration of the Supply Chain calendarCoordinating internal resources and third-party vendors as needed in the execution of projects and eventsOrganizing and submitting expense reports in a timely mannerCoding vendor invoices and routing to the right leader in the systemOrganizing team building events within the functions you supportCollaborate with Supply Chain Executive Assistant network and organizational Executive Assistant network on meetings, team events, leadership offsites and to ensure effective support across the executive leadership team and other functionsSetting the leaders you support up for success and performing additional duties as assigned and neededHere are some of the things you could be working on in the future:
Working towards your own professional development goals based on your areas of interest in the businessMobilizing and coordinating the EA network in support of enterprise initiatives such as Live It events, developing conferences, and event planningLeading the efforts to maximize the impact of the Supply Chain leadership team, including providing a leadership lens on efficiency, impact, and optimizationDeveloping and implementing process optimizations to enable effective operations within the Supply Chain teamAssisting and communicating with the leaders you support in decision-making, program management, and initiative implementationAre you our next Executive Assistant?
You have 5+ years of Executive Assistant experience supporting VP+ leadersYou’re a whiz with the Microsoft Office suite and have excellent business acumenYou have great time management skills, and naturally utilize sound judgement and prioritization when multi-tasking…
