The Wellness Program Assistant plays an important supporting role within our Client Success & Program Management team, helping to ensure the smooth delivery of workplace wellness programs. This position provides administrative, communication, and coordination support that helps keep client initiatives organized, on schedule, and running efficiently.
This is an ideal opportunity for someone who enjoys organization, variety in their work, and being part of a team that is passionate about improving workplace health and well-being. While much of the work is completed remotely, there may be occasional opportunities to support onsite wellness events or client initiatives.
This is a part-time, hourly position (approximately 10–20 hours per week), with additional hours available depending on client and program needs. The schedule is generally flexible; however, occasional availability during specific business hours or for scheduled events may be required. Candidates located in or near the London, Ontario area are preferred to support occasional onsite activities and limited travel when needed.
Key Responsibilities- Provide administrative and logistical support to the Client Success & Program Management team.
- Assist with the planning, coordination, and delivery of client wellness initiatives and campaigns.
- Create and distribute client communications, newsletters, event invitations, and reminders using Constant Contact.
- Schedule webinars and meetings, create Zoom meeting links, and coordinate event logistics.
- Research, recruit, and coordinate guest speakers and wellness professionals for webinars and educational events.
- Communicate with speakers regarding scheduling, promotional materials, and event details.
- Introduce guest speakers and moderate virtual webinars or workshops when required.
- Support social media scheduling and posting on Linked In and Facebook.
- Coordinate the ordering of promotional materials, printed resources, and program supplies.
- Perform data entry and help maintain accurate program documentation.
- You have a genuine interest in workplace wellness, health promotion, or employee well-being.
- You are highly organized and enjoy keeping projects and people on track.
- You can manage multiple priorities while maintaining excellent attention to detail.
- You are comfortable communicating professionally with clients, speakers, and team members.
- You have strong written communication skills and enjoy creating polished emails and communications.
- You are proactive, dependable, and willing to jump in wherever support is needed.
- You are comfortable learning new technology and software platforms.
- You work well independently while also collaborating effectively with a remote team.
- You are confident speaking in front of small virtual groups and can comfortably introduce webinar presenters.
- You enjoy a role that offers variety and changing priorities rather than performing the same tasks every day.
- Experience in administration, program coordination, customer service, marketing, communications, or a related field is an asset.
- Experience using Microsoft Office and Google Workspace.
- Experience with Constant Contact, Zoom, Word Press is an asset.
- Strong organizational, time management, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Reliable internet access and a suitable home workspace for remote work.
- Valid driver's licence and access to a vehicle are considered an asset for occasional onsite support.
Pay:
From $22.00 per hour
