What's the position?We're looking for a Corporate Governance & Admin Assistant to support the Legal & Compliance team in managing a small group of international companies, and to provide broader administrative support across corporate governance, vendor KYC/due diligence, and legal and compliance policy administration. This is a great opportunity for a highly organized administrator with an interest in company secretarial work and corporate compliance to build specialist experience within a fast-moving legal and compliance function.
CompanySecretarial / Corporate Admin
Assist with periodic and ad hoc statutory filings across the group's international entities.
Update and maintain company registers and internal entity trackers.
Keep the business informed of corporate changes affecting the group's entities.
Organize board meetings, including scheduling, preparing board packs, note-taking, and preparing and circulating board minutes.
Produce ad hoc resolutions as required.
Assist t with external vendor KYC/due diligence requests.
Liaise directly with vendors and coordinate the collection of required documentation, involving internal stakeholders as needed.
Track progress of KYC/DD requests with the business and share completed documentation externally through approved, secure channels.
Assist with maintaining the internal Policy and Procedure tracker.
Maintain the associated SharePoint folder for legal and compliance policies and procedures.
Support the Legal & Compliance in ensuring documents are prepared using the correct templates.
Support the team with administrative tasks including maintain SOPs.
Experience of company secretarial / corporate administration work, ideally across multiple jurisdictions.
Experience of handling KYC/due diligence requests, ideally including vendor or third-party due diligence.
Strong organizational skills with exceptional attention to detail.
Ability to manage confidential and sensitive information with discretion.
Comfortable coordinating with multiple internal stakeholders and external vendors to keep tasks on track.
Strong written communication skills, including experience with minute-taking and drafting formal documents such as resolutions.
Proficiency in Microsoft Office Suite, including SharePoint, Word, and Excel; experience with boards and AI tools such as Claude is a nice-to-have but not essential.
