Project Coordinator

Location: Nottingham

Employment: Full time | Permanent

Salary: £30,000

Role Overview

The Project Coordinator will provide efficient administrative and financial support across a range of project and operational activities. The role requires a positive, proactive attitude and a strong commitment to supporting project delivery, financial processes and day?to?day coordination. You will work closely with senior staff and project teams, ensuring tasks are completed accurately, professionally and in line with organisational values.

Key Responsibilities
  • Log new opportunities, convert opportunities into live projects, raise purchase orders, manage project projections and support invoicing.
  • Process client invoices, reconcile subcontractor invoices and maintain purchase order records.
  • Track RFIs, Early Warnings and project deliverable, proactively following up on outstanding actions.
  • Coordinate statutory and client submissions, liaising with internal teams and external stakeholders.
  • Maintain drawing registers and project document management systems.
  • Arrange site visits for staff and subcontractors, preparing supporting documentation and managing follow?up actions.
  • Provide diary management, meeting coordination and general project operations support to senior staff.
  • Manage travel bookings, timesheets, office supplies and document formatting using Microsoft Office.
Essential Skills & Experience
  • Previous experience in administration, project coordination or office support.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent attention to detail, particularly when handling financial information.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Confident communicator able to build positive relationships with colleagues and stakeholders.
  • Experience with document control or project/financial management systems is advantageous.
  • Ability to work independently while supporting a wider team.
  • GCSE Grade C/4 or above in English and Maths (or equivalent).
