Executive Assistant:
Project Management Specialist
Remote (Based at an approved local secure facility). We work US time zones and ask that you're available during those hours, even if that means adjusting your schedule.
This role exists to keep leadership-level projects on track and moving forward without constant oversight. You will own the operational layer between senior leaders and the teams executing their priorities. Work is primarily asynchronous, so structured written updates and proactive status management are central to how this role functions. You will work within an internationally distributed team where process discipline and zero-error execution are the standard.
What You'll Do
Own the tracking and coordination of active leadership projects, ensuring deadlines, owners, and next steps are always current
Maintain project documentation and status reports that give leadership a clear view of progress at any time
Manage senior leader calendars with a focus on protecting time for high-priority project work
Identify blockers across active work streams and resolve or escalate them before they cause delays
Prepare structured briefings and decision documents that support leadership in moving projects forward
What We're Looking For
1–5 years of experience in an executive assistant or project coordination role, or 5+ years at a mid-senior level
Demonstrated ability to manage multiple projects simultaneously with accuracy and consistency
Experience using project management tools to track tasks, owners, and deadlines
Proficiency in Microsoft Office 365 for documentation and communication
Strong written English — our company works in English
