Reports to: Admin & Secretariat Support Team Leader & Head of the PCL Hub

The National Fire Chiefs Council (NFCC) is looking for a highly organised and proactive Team Administrator to join our People, Culture & Leadership (PCL) Hub.

The PCL Hub plays a key role in supporting fire and rescue services across the UK to improve organisational culture, develop leadership capability, and promote positive workforce practices. This is an exciting opportunity to contribute to meaningful national programmes while developing your own administrative and coordination skills within a supportive and collaborative team environment.

About the Role

As Administrator, you will provide high-quality administrative and coordination support across a range of PCL Hub programmes, projects and events. You will be a key point of contact for stakeholders, assisting with enquiries, coordinating meetings and events, maintaining records, and supporting the smooth delivery of leadership development activities.

Working closely with colleagues across NFCC and the wider UK Fire and Rescue Service, you will help ensure our programmes and initiatives are delivered efficiently and professionally.

Key Responsibilities
  • Provide day-to-day administrative support to the PCL Hub team.
  • Manage and monitor shared mailboxes, responding to enquiries and directing requests as appropriate.
  • Coordinate meetings and events, including scheduling, invitations, venue bookings and logistics.
  • Support the administration of leadership programmes, coaching and mentoring activities, CPD events, and webinars.
  • Take basic notes, maintain action logs for internal PCL Hub team meetings.
  • Process bookings, maintain attendance records and update training systems.
  • Prepare and distribute communications, promotional materials and event information.
  • Assist with evaluation surveys and generate basic reports on programme activity.
  • Support project delivery through effective administration and record keeping.
  • Raise purchase orders and support invoice processing.
  • Work collaboratively with the wider Admin & Secretariat team to support organisational priorities.
About You

We are looking for someone who is organised and enjoys supporting others. You’ll have excellent attention to detail, strong communication skills, and the ability to manage competing priorities in a busy environment.

You will bring:
  • Experience working in an administrative or business support role.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Experience communicating with a wide range of stakeholders.
  • Good working knowledge of Microsoft Office, including Outlook, Word, Excel, Teams and SharePoint.
  • Ability to maintain accurate records and databases.
  • A proactive and flexible approach to work.
  • Ability to work effectively both independently and as part of a team.
  • GCSE English and Maths at Grade C/4 and above (or equivalent).
  • Level 2 or Level 3 qualification in a relevant subject.
  • Experience of minute-taking or supporting formal meetings.
  • Previous experience supporting training programmes, events or projects.
