Assistant Registrar

Position Summary

Massachusetts Commonwealth Virtual School (MassCA) is a tuition-free virtual public school district that employs over 240 faculty and staff, serving our diverse population of approximately 3,000 students in Grades K-12 from cities and towns across Massachusetts.

This full time in office role is an active team member of the Department of Student and Family Success. The Assistant Registrar provides essential support to the enrollment and onboarding process as well as support to students and families throughout their enrollment  Assistant Registrar is responsible for a variety of daily tasks, including electronically reviewing and filing student records, answering phones and emails, corresponding with families and other school districts regarding enrollment and withdrawal, greeting visitors, and performing other duties as assigned.

Key Responsibilities

  • Send notification of enrollment to local districts
  • Request student records
  • Receive, review, share, and electronically store student records
  • Share transcripts and other records with schools, colleges, families, etc. in compliance with FERPA and district policy
  • Verify enrollment
  • Support school year cycle task, such as intent to return
  • Withdrawal Notifications
  • Post Office Trips as needed
  • Pull and interpret reports from the Learning Management System
  • Support Enrollment Assistant
  • Monitor Registrar email box for other requests, complete or forward as appropriate.
  • Support in-person events
  • Cross-train with Enrollment Specialist and Registrar
  • Update Learning Management System as needed
  • Support for the administrative assistant team, such as front desk coverage
  • Assist administration with a wide variety of special projects.
  • Answer phones and greet guests.
  • Other duties as assigned.

    High school diploma required.
    1-2 years of similar experience is preferred.
    Proficiency with Microsoft Office and web-based applications.
    Proficiency with Google applications (Mail, Calendar, Drive, Hangouts, Sheets, Documents, etc.).
    Intermediate skill level in MS Excel or Google Sheets.
    Ability to multitask in a fast-paced environment.
    Strong interpersonal skills and attention to detail.
    Excellent communication skills, both verbal and written.
    Ability to maintain privacy and confidentiality (FERPA).

    Location Assignment:
    In our Foxboro office, with the opportunity to earn some work at home privileges upon the satisfactory completion of one year of employment.
