Administrator Team Leader Herefordshire Drug and Alcohol Services

We’re looking for an experienced and motivated Administrator Team Leader to lead our administration function across the Herefordshire (West Midlands), supporting both our Opiate and Non-Opiate services. This is an exciting opportunity for someone who enjoys leading people, driving service improvements and ensuring high-quality administrative support in a busy, rewarding healthcare environment.

About the Role

As Administrator Team Leader, you will oversee and support a county-wide administration team, ensuring the delivery of an efficient, responsive and high-quality service that underpins clinical operations. Working closely with service managers, clinicians and partner organisations, you will play a pivotal role in ensuring the smooth running of our services, helping our teams provide outstanding support to people affected by substance use.

Key

responsibilities will include:
  • Leading, motivating and developing a team of administrators across multiple locations.
  • Ensuring administrative processes are delivered accurately, efficiently and in line with governance requirements.
  • Supporting the Opiate and Non-Opiate teams with key operational activities, including clinic administration and prescription processes.
  • Managing administrative resources, finances and allocated budgets.
  • Monitoring performance and identifying opportunities to improve ways of working.
  • Producing reports and analysing data to support service delivery and performance targets.
  • Building strong working relationships with managers, clinicians, commissioners and external partners.
  • Coordinating meetings, maintaining records and ensuring accurate minute-taking where required.
  • Supporting the delivery of a positive service user experience through excellent administrative practice.
About You

We're looking for a confident and organised leader who thrives in a fast-paced environment and can bring out the best in others.

You will have:

  • Experience leading or supervising an administration team.
  • A strong background in healthcare, clinical or operational administration.
  • Excellent organisational skills and a keen eye for detail.
  • Strong IT skills, including experience using data reporting and management systems.
  • The ability to prioritise competing demands and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to build positive working relationships at all levels.
  • A proactive approach to problem-solving and service improvement.
  • Resilience and the ability to remain calm under pressure.

Ideally, you will also have:

  • Experience working within substance misuse, healthcare or community services.
  • Knowledge of prescription administration processes.
  • A management qualification or equivalent leadership experience.
What You'll Need
  • A full UK driving licence and access to a vehicle, as regular travel between sites is required.
  • Flexibility to meet the needs of the service.
  • This role offers the opportunity to work from home one day per week.
