Office Administrator/ Coordinator
We are looking for a reliable, organized, and personable Administrative Coordinator to join our home care agency to work part time 3-4 days a week 4 hours a day (8am – 12pm). This position plays an important role in supporting our clients, caregivers, and office team.
The ideal candidate is comfortable speaking with people over the phone, responding quickly to changing situations, and keeping accurate records. You will communicate regularly with clients and caregivers to help ensure that care services run smoothly.
ResponsibilitiesPhone & Client Support
- Answer incoming calls and provide friendly, professional assistance to clients, caregivers, and families
- Make outgoing calls to clients and families to confirm schedules, check in on services, and address routine needs
- Follow up on client requests and communicate important information to the appropriate team member
- Handle questions and concerns professionally and upscale issues when necessary
Caregiver Communication
- Send internal messages and updates to caregivers regarding schedules, client needs, and care instructions
- Communicate schedule changes, call-outs, late arrivals, and other staffing updates
- Follow up with caregivers to confirm availability and important information
- Help maintain clear and timely communication between caregivers, clients, and the office
Administrative Support
- Update client and caregiver information in our scheduling/care management system
- Maintain accurate documentation and records
- Assist with scheduling and coordinating caregiver coverage
- Monitor incoming messages and ensure timely follow-up
- Assist the office team with daily administrative tasks
- Help identify and resolve routine scheduling or communication issues
- Previous experience in an administrative, customer service, scheduling, healthcare, home care, or office support role preferred
- Excellent verbal and written communication skills
- Comfortable handling a high volume of phone calls and messages
- Strong organizational and multitasking skills
- Reliable, dependable, and able to follow through on tasks
- Professional and compassionate communication style
- Ability to remain calm and organized when dealing with urgent or unexpected situations
- Comfortable using computers, email, messaging systems, and scheduling software
- Ability to maintain confidentiality and handle sensitive client information appropriately
- Bilingual in English/Spanish, Chinese, or another language is a plus
We are looking for someone who is responsive, dependable, organized, and genuinely enjoys helping people. This is a communication-heavy position, so strong phone skills and the ability to communicate clearly with both clients and caregivers are essential.
A successful candidate will be someone who takes ownership of tasks, follows up without being reminded, and understands the importance of providing excellent service to our clients and caregivers.
