Timekeeping And Leave Management Specialist

The Timekeeping and Leave Management Specialist plays a key role in ensuring accurate payroll processing for team members on leave. This position focuses on entering and maintaining leave decisions in Oracle, coding timecards with appropriate leave and disability pay codes, and performing historical corrections. The role also requires strong Excel skills to manage multiple payroll-related spreadsheets and may serve as a backup for the billing administrator by creating and sending insurance invoices and guiding team members through payment processes on the Cybersource platform.

Responsibilities
  • Enter leave decisions and leave codes into Oracle with a high level of accuracy.
  • Manage and maintain timecards for employees who are out on leave, ensuring correct leave and disability pay codes are applied.
  • Process a high volume of leave requests, potentially handling between 16 and 150 leave requests per day.
  • Support bi-weekly payroll processing by coding and reviewing up to approximately 800 timecards as part of a three-person team.
  • Edit and correct timecards, including making historical corrections to previously processed entries.
  • Perform manual entry of edits, such as backing out PTO hours for employees on leave and adjusting timecard codes as needed.
  • Utilize Excel to manage and reconcile multiple payroll spreadsheets, including penny pay, pending edits, zero hours, and other related reports.
  • Serve as backup for the billing administrator when needed, including sending insurance invoices to team members on leave.
  • Create accurate invoices for leave-related benefits payments and ensure they are distributed in a timely manner.
  • Provide clear guidance to team members on how to make payments through the Cybersource billing platform.
  • Collaborate with payroll, benefits, and leave management teams to ensure consistent and compliant handling of leave and timekeeping.
  • Maintain organized records of leave decisions, timecard changes, and billing activities to support audits and reporting.
Essential Skills
  • Hands-on experience in payroll and timekeeping, including working with employee timecards.
  • Demonstrated proficiency in leave management and absence management processes.
  • Experience with payroll processing, including coding different pay and leave codes on timecards.
  • Ability to perform manual adjustments and corrections on timecards, such as backing out PTO hours for employees on leave.
  • Proficiency in Microsoft Office, including Word, PowerPoint, and especially Excel for managing multiple spreadsheets.
  • Experience handling benefits payments while employees are on leave, including coordinating billing and payment tracking.
  • Familiarity with timekeeping systems such as Kronos or UKG and related timekeeping platforms.
  • Ability to work with Oracle or similar HR/payroll systems to enter and maintain leave decisions and codes.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Ability to come onsite 23 times per week after completing training, as required for the hybrid work model.
Additional

Skills & Qualifications
  • Experience with UKG timekeeping or HR systems is highly desirable.
  • Experience using Oracle for payroll, timekeeping, or leave management is a strong plus.
  • Comfort working with multiple data sources and spreadsheets related to payroll and timekeeping.
  • Ability to learn and use the Cybersource billing platform to support invoice payments.
  • Strong organizational skills and the ability to manage high volumes of leave requests and timecard edits.
  • Clear communication skills to provide guidance to team members regarding leave, billing, and payments.
  • Ability to work effectively in a team environment and collaborate with payroll and benefits colleagues.
Work Environment

This is a hybrid role. You will be onsite for training for approximately 23 weeks, working closely with the payroll and leave management team to learn systems, processes, and workflows. After training, the position transitions to primarily remote work, with the expectation that you will come into the office 12 days per week. The work involves using Oracle, Kronos or UKG, Microsoft Office (particularly Excel), and the Cybersource billing platform to manage leave, timekeeping, and related billing activities.

You will work with a three-person team responsible for bi-weekly payroll, handling a high volume of leave requests and timecards in a structured, professional office environment.
