Job Description

As a Management Coordinator, you will provide essential administrative support to the Director and the wider team, ensuring their operations run smoothly and efficiently. Your responsibilities will include meticulous diary management, anticipating and resolving scheduling conflicts, and coordinating appointments with various internal and external stakeholders.

Key duties involve arranging visits for the Director, including travel and accommodation, and meticulously tracking associated costs to ensure value for money. You will also be responsible for commissioning and collating vital information for these visits, preparing Ministerial briefs, reports, and other necessary documentation from diverse sources within the organisation.

Beyond scheduling, the role demands high-level administrative tasks such as preparing papers for meetings, typing and amending a range of documents including Ministerial submissions and correspondence, and maintaining strict confidentiality. You will handle incoming telephone calls, manage mail logs, and operate a robust record management system, all while maintaining professional communication channels.

Requirements
  • Proven experience in administrative support, particularly in diary management and coordinating complex schedules.
  • Excellent organisational skills with the ability to prioritise tasks effectively and anticipate potential issues.
  • Strong communication skills, both written and verbal, for interacting with diverse stakeholders and preparing official documents.
  • High level of discretion and ability to maintain confidentiality at all times.
  • Proficiency in standard office software and administrative systems.
  • Eligibility to work in the UK; visa sponsorship is available for foreign applicants who require a UK work visa.
Benefits
  • Competitive annual salary of £34,440.
  • Flexible working arrangements, including hybrid working where business needs allow.
  • Generous annual leave allowance, including 9 days for bank, public, and privilege holidays.
  • Choice of two Civil Service pension schemes for financial planning.
  • Opportunities for professional development within the Civil Service.
  • Support for work-life balance through various flexible working policies.
