Summary

Using a contact-center phone system such as Ring Central and a scheduling and calendar such as Calendly, the Front Desk Receptionist provides a welcoming first point of contact for callers and appointment requests. The role sits within the administrative support team and works under an administrative team lead. It connects callers, prospective clients, employees, and department contacts with the right people while keeping messages and appointments accurate.

This fully remote position offers work from home in Michigan, United States, with all reception duties handled online or by phone. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities
  • Monitor the incoming phone queue and shared reception inbox, acknowledge inquiries promptly, and identify whether callers need information, an appointment, or a transfer.
  • Welcome callers professionally, confirm their requested contact or department, and use the internal directory to route each inquiry to the appropriate person.
  • Answer routine questions about contact channels, appointment arrangements, and general service information using approved reference materials rather than guessing when details are unclear.
  • Take clear messages that capture the caller's name, contact information, reason for calling, intended recipient, and any requested response timing.
  • Check appointment availability, arrange bookings, and send confirmations while reviewing attendee details and avoiding overlapping commitments in the shared calendar.
  • Review incoming messages through an email platform such as Microsoft Exchange, separate routine requests from urgent matters, and forward them with useful context.
  • Arrange online meeting access through a video conferencing platform such as Cisco Webex, checking invitations and sharing connection instructions with confirmed participants.
  • Follow up on unanswered messages and pending appointment changes, update the reception log, and confirm that the responsible colleague has received important requests.
  • Escalate unavailable contacts, repeated connection problems, upset callers, or unclear requests to the administrative team lead, summarizing actions already taken and assistance needed.
  • Maintain handover notes for the next receptionist; quality is judged through accurate routing, timely responses, complete messages, correct appointments, and consistent follow-up.
Qualifications
  • High school diploma or equivalent.
  • No experience required; related reception, telephone support, or administrative experience preferred, including experience gained through volunteer assignments or school activities.
  • Familiarity with remote front desk routines, shared directories, message taking, appointment confirmations, and courteous call transfers.
  • Basic understanding of calendar availability, meeting invitations, appointment changes, and checking details before sending confirmations.
  • Willingness to learn the named phone, calendar, email, and online meeting systems through guided practice and reference instructions.
  • Clear spoken and written communication, a professional telephone manner, and the ability to summarize requests without losing important details.
  • Ability to prioritize incoming inquiries, protect private contact information, and recognize when a request needs the team lead’s attention.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.
  • Fully remote work with desk-based reception responsibilities performed from home, without an onsite reception assignment.
  • Structured onboarding and training on the named phone, calendar, email, and online meeting systems, supported by practical examples and reference materials.
  • Regular check‑ins with the administrative team lead to review questions, clarify priorities, and discuss feedback.
  • Opportunities to build front desk communication, diary management, message accuracy, appointment coordination, and remote administrative support skills.
  • Health coverage, paid leave, maternity leave, bonus opportunities, stipends.
